This role is critical in ensuring that access controls, user permissions, and security configurations align with regulatory requirements, organizational policies, and business needs—including distributor management frameworks and U.S. DOJ restrictions.
Key Responsibilities ? Security Architecture & Administration

• Design, implement, and maintain Veeva Vault RIM security models (roles, profiles, permission sets, and sharing rules)
• Govern user access across RIM modules: Submissions, Submissions Archive, and Registrations (including xEVMPD/IDMP)
• Configure lifecycle state security and record-level access controls
• Ensure adherence to the principle of least privilege

? Distributor & Third-Party Access Management

• Develop and manage security models for external users, including distributors and partners
• Define and enforce data segregation and access restrictions for sensitive regulatory information
• Collaborate with Legal, Compliance, and Regulatory teams to align access with contractual and regulatory obligations

⚖️ DOJ Compliance & Regulatory Controls

• Implement and maintain DOJ-mandated access restrictions within the RIM platform
• Translate legal and compliance requirements (e.g., consent decrees, corporate integrity agreements) into system configurations
• Maintain audit-ready documentation and security traceability for inspections and audits

?️ Platform Configuration & Support

• Serve as the SME for Veeva RIM security across global teams
• Troubleshoot access issues, permission conflicts, and workflow bottlenecks
• Support system upgrades, releases, and security patches in collaboration with Digital and Regulatory Operations teams

? Governance, Documentation & Training

• Maintain security documentation (role matrices, access policies, permission inventories)
• Support change control and validation (CSV/GxP) processes related to security updates
• Develop and deliver training on security best practices for end users and administrators

Required Qualifications

• Experience:
  • Minimum 5+ years of hands-on experience with Veeva Vault RIM, with a strong focus on security
• Veeva RIM Expertise:
  • Deep knowledge of Submissions, Submissions Archive, and Registrations modules
• Security Expertise:
  • Proven experience designing and managing Vault security models, including:
    • Roles, profiles, and permission sets
    • Lifecycle state security
    • Object- and field-level security
• Distributor Access Management:
  • Experience configuring secure access for external/distributor users
• DOJ & Compliance Knowledge:
  • Familiarity with DOJ-related restrictions in regulated pharmaceutical environments
• Regulatory Knowledge:
  • Understanding of Global Regulatory Affairs processes, including eCTD, Health Authority interactions, and xEVMPD/IDMP
• GxP Compliance:
  • Experience working in GxP environments (21 CFR Part 11, Annex 11, data integrity principles)
• Education:
  • Bachelor’s degree in Life Sciences, Information Technology, Computer Science, or related field

Preferred Qualifications

• Veeva Vault certifications (e.g., Vault Administrator, Vault RIM)
• Experience with large-scale pharma implementations (e.g., global deployments)
• Familiarity with integrations between Vault RIM and enterprise systems
• Knowledge of XEVMPD/IDMP standards
• Experience supporting regulatory inspections or audits
• Strong documentation and communication skills
• Proven stakeholder management across Regulatory, Legal, Compliance, Digital, and QA teams
• Strong analytical and troubleshooting abilities
• Ability to translate business requirements into effective security configurations
