COORDINATOR/OFFICE ASSISTANT POSITION OVERVIEW Our client is a dedicated and passionate organization committed to making a positive impact in our community, striving to create meaningful change through various initiatives. They are looking for an Administrative Assistant/Store Coordinator to join our team. If you're organized, detail-oriented, and want to be part of a team that's making a difference, this might be the job for you.
  • This position is an indefinite contract position. 
  • Hours are Monday-Friday 8am-5pm
Key Responsibilities:
  • Communicate with customers via email and phone correspondence in a professional manner.
  • Provide administrative support to our team by assisting with daily tasks, such as data entry, filing, and document management.
  • Answer and direct incoming phone calls and emails, ensuring timely and professional communication.
  • Manage office supplies and inventory, replenishing items as needed.
  • Help maintain organized records and databases, ensuring data accuracy and security.
  • Assist in processing donations and acknowledging contributors with gratitude.
  • Support the organization in preparing reports, and other materials as needed.
  • Handle general office and store front maintenance to ensure a clean, organized, and inviting workspace.
  • Collaborate with other team members to ensure the smooth operation of day-to-day activities.
  • Other duties as needed:
  • Facilitate donor and customer relationships-Provide excellent customer service
  • Load, unload, and protect merchandise
  • Disassemble, de-construct, and process incoming material in a fast-paced environment
Qualifications:
  • MUST be adaptable- flexible to change of tasks and job duties
  • Excellent communication skills, both written and verbal
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • MUST be tech savvy and ability to write professional emails
  • Strong organizational skills with keen attention to detail
  • Ability to work independently and as part of a team
  • A genuine passion for our nonprofit's mission and values
  • Must be okay with some light physical work and adaptable in shifting from office duties to store front/warehouse duties. 
  • Ability to lift 25 lbs.
  • Ability to bend, twist, stoop, stand for long periods of time and to lift 25 lbs. repeatedly throughout the day if needed.
  • Ability to work in a non-climate-controlled atmosphere as needed. 
  • High school diploma or equivalent
Candidate Attributes:
  • Unfazed by the tasks of creating a budget, financial reports, information guides, and presentations.
  • Ability to interface seamlessly with our POS software vendor regarding inventory issues, bar code printers, and other system hardware.
  • Ability to interface with our merchant processing vendor and resolve issues with credit card processing equipment and accounts.
  • Positive, helpful attitude toward customers, donors, clients, and team members; able to convey information accurately and absorb feedback through exceptional listening skills.
  • Ability to work independently or with a group. Possesses team leadership and supervisory experience.
  • Effortlessly works with and engages people with diverse backgrounds-with joy- and a willing spirit of helpfulness.
  • Extremely organized with attention to safety and detail.
  • Heavy incoming and outgoing phone call volume experience.
  • Possess inherent creativity and the skills to navigate video production applications, upload videos and pictures to project files and hosting sites and produce social media content.
  • Creative and expert writer with the ability to answer emails, write letters, and produce merchandising content as needed. Someone who proofreads before sending or publishing and who is able to identify and correct spelling and grammatical errors.
  • Astute observer with the ability to make accurate evaluations based on data and experience. Asks questions and pursues answers with an innate desire to comprehend comprehensively with the end goal of being able to analyze effectively and propose recommendations that can be utilized to promote positive change.
