Service Administrative Assistant
Job Description
Key Responsibilities:
- Provide administrative support to the office, ensuring smooth operations from 7:00 AM to 3:30 PM.
- PO Completion/Issuing
- Invoice Review and approval
- Safety Program and File Management
- Payment Collections
- On Boarding/Training New Techs
- Credit Card Review and Filing
- Vehicle/ Mileage Tracking
- Time/Payroll Assistance
- Quoting Of Small Projects
- Assist with Scheduling
- Manage and update customer databases and service records
- Handle incoming calls and emails, providing exceptional customer service and addressing inquiries
- Prepare and process invoices, purchase orders, and other related documents
- Coordinate with vendors and suppliers
- Assist in preparing reports and presentations for management
- Perform general office duties, including filing, photocopying, and data entry
- High school diploma or equivalent; additional administrative training or certification is a plus
- Proven experience as an administrative assistant, preferably in the construction or HVAC/plumbing industry
- Proficient in Microsoft Office Suite (Word, Excel, Outlook)
- Strong organizational and time-management skills
- Excellent communication and interpersonal abilities
- Ability to multitask and prioritize workload effectively
- Detail-oriented with strong problem-solving skills
- Familiarity with service management software is an advantage
