Job Title: Temporary External Events Assistant

Position Overview:
We are seeking a highly organized, proactive, and detail-oriented External Events Assistant to provide administrative and logistical support throughout the lifecycle of external events. This role involves coordinating with multiple stakeholders, maintaining precise documentation, and ensuring each event progresses smoothly from inception to follow-up. The ideal candidate will be efficient in handling multiple projects simultaneously, with a strong grasp of event logistics and communication.

Primary Responsibilities & Task List
• Maintain multiple calendars with event information 
• Help setup meetings and maintain event specialist calendar 
• Keep files for events organized and easy to access 
• Create post event reports 
• Collect and catalogue photos of all events
• Fulfill weekly promotional orders and mail them to recipients
• Maintain up to date inventory of all promotional items and event materials
• Pack and unpack materials for each event from list provided
• Conduct event and venue research as needed
• Book hotels for events and attendees
• Make restaurant reservations for events or meetings
• Provide general administrative and logistical support

Qualifications
• 2+ years of experience in event coordination, project coordination, or executive support roles
• Strong proficiency in Microsoft Office Suite (Excel, Outlook, Teams, Planner)
• Familiarity with travel platforms (e.g., Navan), shared folders (e.g., SharePoint,), and event tools
• Experience working in fast-paced, multitasking environments
• Strong written and verbal communication skills
• Meticulous attention to detail and organizational abilities
• Ability to handle sensitive information with discretion
• Ability to lift and pack large materials when necessary
