Position:
Administrative Assistant (part-time)

Contract: Long-term (no end date)

Pay: $25/hour

Location: Downtown

Parking: Covered/Validated

Hours: 20 hours/week

Job Description:
  • Provides general office duties, including but not limited to scheduling/calendaring, maintaining electronic files and spreadsheets, processing of invoices and expense reports, ordering supplies, maintaining contact lists, and creating binders.
  • Proficiency in MS Office software, specifically PowerPoint and Excel.
  • Assists with General Accounting issues.  Receive inquiries from vendors, research discrepancies and resolve issues with vendors, process invoices for payment.  Handles vendor related phone calls regarding invoice inquiries.  Verifies invoices against support documentation and route for appropriate approval and further processing and payment. 
  • Assists with Budget reconciliation activities, including assisting the Manager, Talent Acquisition and Director, HR Business and Organizational Effectiveness with reports and obtaining back-up data for recorded expenditures
  • Reviews and verifies P-card account statements to ensure correct categorization, coding and approval-levels.  Submits for further processing.
  • Generates purchase requisitions, vendor set up, vendor correspondence, and research discrepancies as needed. Creating and pulling reports from Oracle. Research invoice issues and status, as well as general procurement support.
  • Plan and execute Human Resources teams events arranging for logistic requirements in any meetings or office get together events including book meeting rooms and conference calls, sending invites, ordering food and distribute meeting materials.
  • Departmental budget overview for expenses and purchases and attend monthly budget meetings and be prepared to discuss updates.
  • Prepare TA Team expense reports in an accurate and timely manner.
  • Other general administrative duties as needed.
