Office Manager

A construction company in New Braunfels, TX is seeking an Office Manager on a temporary basis for their office! The Office Manager will be responsible for greeting employees and clients in the office, handling receptionist duties, and accounts payable duties!

  • Location: New Braunfels, TX
  • Pay: $20.00-22.00/hr DOE
  • Schedule: Monday-Friday 10am-2pm
  • Length: 3 months


Office Managerial Tasks:
  • Greet and assist every person coming into the office – employee or not
  • Order snacks & drinks
  • Stock snacks & drinks in office
  • Order office supplies, cleaning supplies, IT equipment
  • Ensure coffee/tea stocked for breakroom – ordered through vendor
  • Answer & direct office phone calls
  • Provide applications and monitor when completed and provide to HR or project applied for
  • Send out/receive packages
  • Order items for projects via Amazon
    • IT equipment
  • Check the mail M/W/F
  • Ensure office, breakrooms, storage closets are all organized & stocked
  • Coordinate office needs with vendors: Monthly Pest control, quarterly air filter changes, housekeeping, Cintas (bathroom restock every Friday, first aid kits once a month), compass shredding as needed, IT improvements in the office (Spectranet, third party)
  • Ensure any issues with the office is taken care of – additional pest control issues, leaks, replacements needed, plumbing issues, etc.
  • Clean messes in break room & meeting spaces as needed – after meetings, after office get togethers, accidents, etc.


AP Tasks:

  • Manage expenses (receipt submittal & tracking) for Mario & Abel’s corporate cards
  • Manage expenses on corporate travel card (averaging almost 30K a month – which is the limit on this card)
  • Book hotels and/or flights & car rentals for all projects in the CTR region – HC, PLW, & now NEX’s WO7 – as well as travelers from other regions as needed.
    • Book hotels and/or flights & rentals for office employees/PMs/Interviewees/Trainers as needed
    • Track hotel bookings, flights, car rentals for employees via excel spreadsheet
    • Once hotel is booked, contact hotel to submit Credit Card Authorization Form to ensure room & tax is covered for each employee’s stay.
    • Once stay is complete, acquire hotel receipt & submit for expenses
  • Identify and investigate unknown charges on the travel card – locate, identify, and submit needed receipt.
  • Submit K2’s for new vendors as needed
  • Give payment & status updates to vendors as needed on invoices

Requirements:
  • 2+ years of Office Management experience required
  • 2+ years of Accounts Payable experience required
  • Anticipate needs of the office
  • Warm and friendly attitude!
