Litigation Legal Secretary - Hybrid Position!

Job Description
THE OPPORTUNITY:
As a secretary you will perform a variety of administrative duties for assigned attorneys and paralegals. You will interact with colleagues in a team setting and uphold the image of the firm by maintaining positive contact with clients, attorneys and staff, and observing confidentiality of client matters.
THE DAY-TO-DAY:
On any given day, you will be working with firm leadership, partners, and business colleagues on a variety of projects and requests. You will:
- Draft, revise and finalize correspondence, audit letters, PowerPoint Presentations, memoranda and other legal documents. Draft routine correspondence, redacting/bates labeling documents, memoranda and other documents.
- Proofread documents and check for appropriate formatting, spelling and grammar.
- Assemble documents in .pdf format. Verify all attachments, exhibits and enclosures are included in final documents and included with transmittal letters/memos.
- E-File complex documents at the federal and state level.
- Maintain good public relations with clients.
- Sort, date and read incoming mail. Prepare documents and packages for mail, messenger and overnight delivery.
- Complete client/matter forms. Request conflicts of interest checks. Open new files.
- Maintain all client and general files. Conduct periodic review for possible storage of old files and prepare files to be closed.
- Prepare expense reports; edit attorneys’ CLE credits.
- Set up client websites.
- Coordinate and follow through on requests and projects with other support departments.
- Screen telephone calls, listen to voicemail and record messages.
- Schedule appointments and make arrangements.
- Maintain calendar, contacts and deadline reminder systems.
- Enter attorney time, send time entry reminders and track entries.
- Review and file email.
- Process client billing.
- Other duties and projects as assigned.
YOU HAVE:
- At least 5 years of legal experience
- Ability to manage vendor invoices
- Proofreading, attention to detail and solid grammar/spelling skills a must
- Ability to practice discretion and confidentiality to the highest degree
- High degree of proficiency with Microsoft Outlook, Word, Adobe Acrobat, Kiteworks and Excel a must
- Typing speed/accuracy: 70 wpm with accuracy
- Legal citation and legal terminology expertise
- Familiarity with Carpe Diem, DeltaView, Quantum, document management systems or similar technology
