Legal Receptionist
Job Description
The Legal Admin/Receptionist will play a critical role in managing front desk responsibilities while also assisting with client intake processes. Ideal candidates will have experience working in a law firm environment—especially in probate—or will have prior experience handling intake in any professional industry setting.
Responsibilities

Greet and assist clients and visitors in a courteous and professional manner.

Manage a multi-line phone system, directing calls and taking detailed messages.

Perform initial client intake over the phone and in-person, gathering essential information accurately and sensitively.

Schedule consultations and appointments for attorneys and legal staff.

Maintain the reception area, conference rooms, and common areas to ensure a welcoming environment.

Handle incoming and outgoing mail, deliveries, and courier services.

Enter client data into case management and intake systems with precision and confidentiality.

Support administrative tasks such as filing, scanning, and preparing documents as needed.

Collaborate closely with attorneys and paralegals to ensure smooth client onboarding.
Qualifications
-
Alternatively, 1+ years of experience in a client intake role within any professional industry (medical, finance, insurance, etc.).

Strong interpersonal skills with a client-service mindset.

Excellent verbal and written communication skills.

Highly organized with strong attention to detail and follow-through.

Proficiency in Microsoft Office Suite (Word, Outlook) and familiarity with legal case management software a plus.

Ability to handle sensitive information with discretion and professionalism.
