GENERAL SUMMARY
Under the general supervision of the Director of Human Resources, the Receptionist is responsible for coordinating conference rooms and receiving and directing calls, clients, vendors and deliveries to the appropriate individual(s) within the Firm. The Receptionist possesses the ability to work in a cooperative positive manner with all coworkers, clients, attorneys and non-attorney staff, while observing confidentiality in all matters relating to the Firm.


ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Receives all incoming calls, clients, vendors, and deliveries, directing them to the appropriate individual(s) within the Firm in a prompt, courteous, and hospitable manner.
  • Interacts congenially with clients, attorneys, staff, and other representatives in and outside of the Firm.
  • Maintains lobby in an orderly manner.
  • Responsible for package deliveries and maintaining the delivery log.
  • Coordinates and maintains conference room schedule.
  • Proactively coordinates meals for meetings.
  • Validates parking tickets and maintains the parking log.
  • Arranges visitor transportation services or taxis, as needed.
  • Works with building management to arrange office repairs such as light and ceiling tile replacements and air conditioning/heating problems.
  • Prepares expense reports.
  • Other administrative duties as assigned, such as department overflow projects and library assistance.

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:
  • High school diploma required.
  • Working knowledge of Microsoft Office, including Word, Excel and Outlook.
  • Pleasant telephone voice, friendly and professional demeanor.
  • Maintains a positive and respectful attitude.
  • Interpersonal skills necessary to communicate in person, by email and telephone, providing information with professional courtesy and tact.
  • Ability to follow instructions effectively.
  • Ability to read and write English in order to take messages and interpret the nature of incoming calls, write routine reports and correspondence, and proof and perform minor editing (e.g., punctuation, grammar, spelling) of routine law office correspondence.
  • Strong attention to detail.
  • Ability to handle multiple projects with frequent interruptions and changing priorities in an efficient manner, providing rapid turnaround as required. Generally performs well in a fast-paced, high-tech environment.
  • Maintains a good attendance record.
  • Dresses professionally.
