Executive Legal Secretary - Litigation
Job Description
A well-established law firm is seeking an experienced Executive Legal Secretary to support multiple attorneys within its Litigation practice. This is a great opportunity to join a collaborative team in a fast-paced, professional environment.
Position Overview
This role provides comprehensive administrative and legal support, including document preparation, e-filing, calendaring, billing coordination, and client interaction. The ideal candidate is highly organized, detail-oriented, and thrives in a high-volume litigation setting.
Key Responsibilities

Prepare, format, and proofread legal documents (pleadings, motions, correspondence)

Manage state and federal e-filing and maintain court deadlines/calendars

Coordinate meetings, travel, and client communications

Maintain case files and document management systems (NetDocuments)

Prepare trial binders, exhibits, and case materials
-
Assist with billing, time entry, and expense processing

Support new matter intake and conflicts checks

Provide high-level administrative support to multiple attorneys
Qualifications
- 5+ years of litigation legal assistant/secretary experience (mid-to-large firm preferred)

Strong knowledge of Texas and federal court procedures and e-filing systems (ECF)

Proficiency in Microsoft Office, document management systems, and billing software

Advanced document formatting skills (TOC/TOA, styles, redlining)

Excellent organizational, communication, and multitasking skills

Ability to work independently in a deadline-driven environment
