Inspection Administrator - Victoria, TX
This role supports some of the most critical large-scale capital projects within the organization. As the Inspection Administrator, you will serve as the operational hub connecting procurement, third-party inspection partners, project teams, and cost analysts. Your work ensures inspections are initiated, tracked, documented, and completed with accuracy and efficiency—directly contributing to project success. This project is expected to span approximately 4 years, with the majority of inspection-related workload occurring in the first 2 years.

Responsibilities

  • Initiate and manage inspection work offers for all procurement-required inspections tied to large CapEx projects using contract management software.

  • Partner with buyers to track purchase orders, work offers, and approval workflows.

  • Maintain a detailed log of POs and corresponding work offers issued to third-party inspection (TPI) companies.

  • Support buyers by gathering inspection estimates and documentation required for proper setup in the contract management system.

  • Verify inspection schedules after work offers are issued and accepted by both ET and TPI partners.

  • Distribute updated inspection trackers to QA and project teams on a regular basis.

  • Run weekly PO reports in the ERP system to confirm all required inspections have been contracted.

  • Coordinate with vendors and TPIs weekly to identify schedule changes that may impact inspection timelines.

  • Collaborate with cost analysts to support accurate forecasting of inspection-related costs.

  • Assist inspection companies with past-due invoice resolution when needed.

Qualifications Required

  • High School diploma or equivalent.

  • Communication skills — clear, professional written and verbal communication.

  • Attention to detail — accuracy in typing, grammar, documentation, and data entry.

  • Team collaboration — ability to work closely with buyers, inspectors, and project teams.

  • Self-motivation — energetic, organized, and proactive work style.

  • Performance monitoring & data synthesis.
Preferred

  • Technical degree, CSM, Associate Degree, or equivalent experience.

  • SAP MM ERP experience.

  • Reporting tools such as Power BI or Tableau.
