Position: Facilities/Office Services Coordinator

Location: Downtown Houston

Parking: Validated/Covered

Type: 6-month contract – could be extended (probably will be)

Hours: 8am – 5pm

100% on-site

Job Description:

KNOWLEDGE

The individual ideally should possess a working knowledge of facilities management or office administration.  This individual must have knowledge of MS Office and other related software applications.

 

RESPONSIBILITIES AND ESSENTIAL DUTIES

·         Coordinate space planning initiatives (updating floor plans, desk moves, restacks)

·         Coordinate, update and maintain desk location maps for all new employees, existing, employees/non-employees after weekly moves/restacks

·         Assist Facilities & Office Administration Manager on employee event plans and setup

·         Help coordinate all parking garage and metro accounts assignments and costs

·         Track and report on monthly expenses for Corporate Facilities P-Card

·         Assist with ordering approved items for employee life events (i.e.: gifts, flowers…) as requested by manager

·         Coordinate with Supplier Compliance to establish new vendors and managing purchase orders

·         Reconcile vendor invoices for goods/services and initiate payment processing

·         Track renewals and assist in process of renewing yearly City of Houston permits for assembly/gatherings, food dealers etc.

·         Track renewals and assist in process of renewing yearly USPS caller service and accounts payable PO Box

·         Help facilitate first day onboarding Office Services portion of new hire orientation

·         Order office/desk Name Plates for Multiple Offices

·         Help track and Coordinate Fire Wardens for Fire Drills

·         Coordinate/schedule any installs for furniture, displays, or vendor needs

·         Coordinate offsite moves for large events/desk moves/furniture relocation

·         Support day-to-day building operations

·         Update calendar to reflect meeting setups

·         Assist in finding and scheduling conference rooms as requested

·         Submitting dock requests for vendors to building management 

·         Assist in ordering office supplies via Amazon, Costco, and Tejas Office

·         The duties and responsibilities described are not a comprehensive list and additional tasks may be assigned to the employee from time to time; or the scope of the job may change as necessitated by business demands.

 

QUALIFICATIONS (EDUCATION, EXPERIENCE AND SKILLS)

·         Education and Certifications:  High school diploma or equivalent, bachelor’s degree preferred.

·         Experience:  At least three (3) years of related work experience required.

·         Skills:

o    Exceptional customer service.

o    Detail oriented with effective time management and organizational skills.

o    Possess excellent verbal and written communication skills.

o    Intermediate to advanced knowledge of MS Office (Word, Excel, Outlook), working knowledge of Adobe Illustrator, and the ability to learn new software and applications is preferred.

 

WORK CONDITIONS
  • Job is performed in a typical office environment, but is subject to time pressures and constraints, and is often dependent on input from others. 
  • Occasionally, work may be performed from home, after normal work hours or on weekends.
  • May be required to work overtime.
