Job Description

We are seeking a highly organized and proactive Executive Assistant to support our CEO. The ideal candidate will possess strong capabilities in managing complex travel arrangements and have experience in planning and coordinating international events. This role is critical in ensuring the CEO's schedule is managed efficiently and that all logistical details are seamlessly handled.
  • 100% in office
  • Must be ok with up to 25% travel, domestic and international. 

Responsibilities:
  • Manage and coordinate the CEO's daily calendar, including scheduling meetings, conferences, and appointments.
  • Plan and arrange complex domestic and international travel itineraries, including flights, accommodations, transportation, and visas.
  • Organize and coordinate international events, including but not limited to conferences, executive retreats, and high-profile business meetings.
  • Prepare detailed travel itineraries and ensure all necessary travel documentation is accurate and in order.
  • Act as the primary point of contact between the CEO and internal/external contacts.
  • Handle confidential information with discretion and integrity.
  • Prepare and edit correspondence, communications, presentations, and other documents on behalf of the CEO.
  • Manage expense reports and reconciliation for travel and event-related expenditures.
  • Provide general administrative support, including but not limited to answering phones, copying, and filing.
  • Assist with special projects and perform additional duties as required to support the CEO.
Qualifications:
  • Bachelor's degree in Business Administration, Hospitality, Event Management, or related field.
  • 7-9 years of experience as an Executive Assistant, preferably within a fast-paced, international environment.
  • Demonstrated experience in managing complex travel arrangements and organizing large-scale international events.
  • Strong organizational skills with the ability to manage multiple projects simultaneously and meet deadlines.
  • Excellent communication and interpersonal skills, with the ability to interact with all levels of staff, stakeholders, and external partners.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Detail-oriented with a proactive approach to problem-solving and decision-making.
  • Discretion and confidentiality are paramount.
