Events Coordinator - Remote California

A renewable natural gas non-profit association is actively seeking an experienced Events Logistics Coordinator to add to their team! The Events Logistics Coordinator plays a crucial role in the successful planning and execution of events organized by the non-profit organization. This individual is responsible for overseeing the logistical aspects of events, ensuring smooth operations, and contributing to the overall success of fundraising, awareness, and community engagement initiatives.


Job Details & Responsibilities:
  • This role is 100% remote California Based
  • Travel to hosted conventions & events across the country 4-5 times per year.
  • Collaborate with the Events Team to plan and organize various events, including fundraisers, community outreach programs, and awareness campaigns.
  • Develop and maintain a detailed event logistics plan, including timelines, budgets, and resources.
  • Identify and liaise with vendors, suppliers, and service providers for event-related needs such as catering, equipment rental, transportation, and venue arrangements.
  • Negotiate contracts, obtain quotes, and ensure cost-effectiveness in all logistics-related expenses.
  • Coordinate with venues to secure necessary permits, licenses, and approvals.
  • Oversee set-up and breakdown activities, ensuring that the venue is prepared and restored in accordance with the organization's standards.
  • Arrange transportation for participants, speakers, and staff as needed.
  • Coordinate parking logistics and transportation schedules to ensure timely arrivals and departures.
  • Manage the inventory of event materials, signage, and supplies.
  • Coordinate the procurement and distribution of promotional materials, badges, and any other event-related items.
  • Work closely with the Communications Team to ensure consistent messaging and branding throughout the event.
  • Collaborate with volunteers, staff, and other stakeholders to ensure seamless communication and coordination.
  • Develop and implement safety protocols and emergency plans for events.
  • Collaborate with security personnel to ensure the safety and well-being of participants.

Qualifications:
  • Bachelor's degree in event management, hospitality, or a related field.
  • Proven experience in coordinating logistics for events, preferably in a non-profit setting.
  • Strong organizational and multitasking abilities.
  • Excellent communication and negotiation skills.
  • Proficiency in event management software and Microsoft Office Suite.
  • Ability to work flexible hours, including evenings and weekends, during events.
