Job Description

The Administrative Assistant role will support and assist in the overall productivity of the Vice President and their team by providing timely administrative support, eliminating barriers and ensuring effective communication. 

Primary Responsibilities: 
  • Completes administrative duties
  • Organizes face-to-face Team meetings
  • Greets guests warmly and coordinates meetings and interactions with visiting suppliers and customers
  • Provides calendar management assistance
  • Screens phone calls and contacts from suppliers and customers and intervenes to proactively answer requests and questions
  • Participates with data entry efforts in support of analytical models
  • Arranges and coordinates domestic and international travel schedules and reservations
  • Creates PowerPoint presentations and logs market data as requested
  • Provides SAP support (purchase requisitions, service entries, cost reporting, etc.)
  • Receptionist Desk Coverage when needed
  • Assists in on-boarding new employees
  • Serves as Document and Records Management Administrator
  • Maintains SharePoint and electronic folder structures. Converts documents to AmSty format
  • Works with team of Executive Assistants to maintain office working environment and flow including front desk/reception coverage, prepare outgoing mail, and serve as backup


Job Requirements
  • 5+ years of experience
  • Bachelor's Degree required
  • Strong knowledge of Microsoft Office Suite including mid to advanced skills in Outlook, Word, Excel (Pivot Tables) and PowerPoint
  • Focused attention to detail and accuracy
  • Immaculate written and oral communication skills
  • Demonstrated ability to promote teamwork and a cooperative work environment
  • Ability to make decisions about work priorities and to effectively and efficiently manage workload
  • Familiarity with SAP is preferred
  • Experience with SharePoint
  • Apttus contract management experience is desirable
  • Ability to work independently
  • Effective problem-solving skills, especially when dealing with conflicting personalities
  • Strong familiarity with Audio/Visual and office Information Technology equipment
  • Ability to travel overnight, on occasion, to  meeting locations in the USA (one or two trips per year)
