Job Description


Our client, located in The Woodlands, TX is adding an Administrative Assistant to their team. The client offers exceptional benefits and a fun work environment.  Candidates must have strong experience in fundraising and event coordination. 

 

Essential Duties and Responsibilities:

Responsibilities will include but are not limited to:
  • General Administrative Support
    • Order various supplies 
    • Maintain the office Outlook calendar, send out calendar invitations
    • Process departmental check and facilities requests and review monthly agency and budget reports
    • Assist with mailings, phone inquiries, and other clerical duties required by the department and other administrators as needed
    • Prepare weekly agendas for departmental meetings and reports for staff and volunteer committees
    • Provide excellent customer service to all constituents
  • Data Entry/Management
    • Enter gifts and gifts-in-kind into Raiser’s Edge database, track gifts and batches, and prepare deposit reports for special events and annual fund income
    • Maintain organized filing system and database maintenance of all event registrations, attendees, and payments to improve data integrity and database performance. Maintain documentation and income reporting on event registration, including payment status
    • Manage donation acknowledgment process for special events in a timely manner
    • Reconcile all special events between special events software, Raiser's Edge, and the business office
  • Event Administrative Support
    • Create and manage event registration pages, including ticket purchases, guest list management,  and table assignments to event day setup and attendee check-in
    • Organize and administer registration training for special event volunteers
    • Attend and support the execution of major events organized by the Advancement team, which requires evening, overnight, and/or weekend work (ex: Golf, Signatures, Gala, Senior Dinner)

 

Qualifications:
  • Required:
    • Bachelor's degree or 3+ years experience working in a professional, customer/client-facing business environment
    • Minimum two years of administrative experience
    • Proficiency in Microsoft Office platform, with emphasis on Excel
    • Excellent organizational skills and attention to detail
    • Ability to meet deadlines while managing multiple projects
    • Excellent interpersonal, communication, and writing skills
  • Preferred:
    • Experience with Blackbaud's Raiser's Edge, One Cause, and other fundraising databases/auction software
    • Experience working in a development/advancement office
