Administrative Assistant
Job Summary:
We are seeking a highly organized and efficient Administrative Assistant to join our team. The ideal candidate will be responsible for providing administrative support to ensure efficient operation of the office. This role involves a variety of tasks including managing phone calls, organizing meetings and appointments, maintaining filing systems, and assisting in daily office needs. The Administrative Assistant must be detail-oriented, proactive, and possess excellent communication skills.



Key Responsibilities:

  • Answering and Directing Phone Calls: Manage incoming calls and greet visitors, ensuring excellent customer service at all times. Direct calls to appropriate individuals and take messages when necessary.

  • Scheduling and Coordination: Arrange and schedule appointments, meetings, and conferences. Coordinate travel arrangements and prepare necessary documentation.

  • Administrative Support: Provide general administrative and clerical support including mailing, scanning, faxing, and copying documents. Maintain electronic and hard copy filing systems.

  • Data Entry and Record Keeping: Enter, update, and maintain records and databases accurately and timely. Ensure data integrity and confidentiality.

  • Correspondence: Draft and proofread correspondence, emails, memos, reports, and other documents. Handle incoming and outgoing correspondence.

  • Office Organization: Maintain office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies, and verifying receipt of supplies.

  • Meeting Support: Prepare meeting agendas, take minutes, and distribute materials. Follow up on action items as necessary.

  • Assistance to Management: Assist management with various administrative tasks and projects as needed.



Qualifications and Skills:
  • 2-3 years as an administrative assistant or relevant administrative role.
  • Proficient in MS Office (Word, Excel, Outlook, PowerPoint) and other office software.
  • Excellent time management skills and ability to prioritize tasks.
  • Strong attention to detail and accuracy.
  • Excellent written and verbal communication skills.
  • Ability to multi-task and work efficiently in a fast-paced environment.
  • Discretion and confidentiality in handling sensitive information.
  • High school diploma required; associate or bachelor’s degree preferred.
