Job Overview: This is a temporary assignment covering for a maternity leave. 
As an Administrative Assistant, you will play a crucial role in ensuring the smooth and efficient operation of our office. You will provide essential administrative support to various departments and assist in maintaining a productive and organized work environment. Key Responsibilities: Office Management:
  • Maintain a clean, organized, and welcoming office environment.
  • Manage office supplies inventory and place orders as needed.
  • Coordinate and schedule office repairs and maintenance.
Administrative Support:
  • Handle incoming calls, emails, and correspondence, directing them to the appropriate staff.
  • Prepare and edit documents, reports, and presentations.
  • Assist with data entry and record-keeping tasks.
  • Schedule and coordinate meetings, appointments, and travel arrangements.
Team Assistance:
  • Provide administrative support to various departments and teams as required.
  • Assist in organizing team events, meetings, and workshops.
  • Collaborate with colleagues to streamline administrative processes.
Document Management:
  • Maintain digital and physical filing systems, ensuring easy access to important documents.
  • Assist in organizing and archiving company records.
Visitor and Guest Relations:
  • Greet and assist visitors, clients, and guests in a professional and courteous manner.
  • Ensure visitors are properly registered and directed.
Qualifications:
  • High school diploma or equivalent; additional education or certifications are a plus.
  • Proven experience as an administrative assistant or in a similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • A proactive and detail-oriented approach to tasks.
  • Strong problem-solving abilities and a willingness to learn.
