AR/Billing Specialist
Job Description
Responsibilities: Document Management:
- Prepare and send documents for new work or purchase orders.
- Forward documents to HR and consultants for signatures.
- Ensure all paperwork is signed and saved in the shared folder before start dates.
- Attach work orders/purchase orders in the system upon sales submission.
- Create and submit revenue invoices based on approved timesheets.
- Manage month-end files and track timesheets for billing.
- Submit revenue invoices after month-end.
- Review and submit expense reimbursements with supporting documentation.
- Send expense sheets to Accounts Payable for payroll processing.
- Review and approve weekly timecards.
- Ensure timecards match work orders/purchase orders.
- Cut and mail Accounts Payable checks.
- Sort and scan mail for HR/Accounting.
- Deposit checks at the bank monthly.
- Monitor timecards and resolve invoice disputes.
- Create sales orders/jobs and attach relevant documents.
- Track hours and balances for consultants.
- Assist with time entry and expense submission issues.
- Send expense reimbursement instructions to consultants.
- Request approvals and missing purchase orders from clients.
- Assist HR with employment verifications.
- Perform other tasks as assigned by the Senior Accountant.
- Software experience with Bullhorn or QuickBooks (or similar).
- 3-5 years of relevant experience.
