Key Responsibilities

Review and accurately code vendor invoices in the accounting system

Match invoices to purchase orders and receiving documents when applicable

Ensure timely processing of payments and employee reimbursements

Reconcile vendor statements and resolve discrepancies promptly

Maintain vendor records, including W-9s and payment terms

Assist with weekly check runs, ACH/wire transfers, and credit card transactions

Support month-end close by preparing AP reports and reconciliations

Organize and maintain AP documentation for audit and compliance purposes

Communicate professionally with vendors and internal stakeholders

Follow established accounting policies, procedures, and internal controls

High school diploma required; Associate’s or Bachelor’s degree in Accounting or related field preferred

Minimum 2 years of experience in accounts payable or general accounting

Proficiency in Microsoft Excel and accounting software (e.g., Premier, Smart UI, or similar)

Strong organizational skills and attention to detail
-
Ability to prioritize and meet deadlines in a high-volume environment

Effective written and verbal communication skills
-
Experience in a construction or multi-entity environment is a plus
